At Capt.D Studio, our classes and sessions are intentionally kept small to provide a focused, personal and high-quality experience.

Because spaces are limited, every booking represents a reserved place that may otherwise have been offered to another client.

This Booking & Cancellation Policy (“Policy”) explains the rules relating to bookings, cancellations, rescheduling, late cancellations, no-shows, memberships and related matters.

By making a booking or purchasing a Capt.D package or membership, you acknowledge that you have read and accepted this Policy.

This Policy should be read together with Capt.D’s Website Terms & Conditions, Privacy Policy / POPIA Notice, applicable Membership Terms and any liability waiver or participation documentation.


1. MAKING A BOOKING

Bookings are subject to availability.

A booking will only be regarded as confirmed once the applicable booking process has been completed and any required payment has been received or confirmation has otherwise been issued by Capt.D.

A booking is personal to the individual who made it and may not be transferred to another person unless Capt.D has expressly approved the transfer.

Clients are responsible for ensuring that they select the correct:

  • class;
  • date;
  • time;
  • level;
  • package or membership; and
  • booking type.

Where a client is uncertain about which class or level is appropriate, they should contact Capt.D before booking.


2. CLASS LEVELS

Capt.D may offer classes at different levels, including beginner, intermediate and advanced levels.

Clients are responsible for selecting a class appropriate to their experience and ability.

Capt.D or an instructor may recommend that a participant move to a different class level where this is reasonably considered necessary for the participant’s safety, experience or appropriate progression.

This may include recommending a more suitable class level or modifying an exercise during a session.


3. PAYMENT

Where payment is required to secure a booking, the booking will only be confirmed once payment has been successfully received or otherwise authorised.

Accepted payment methods may include those displayed or communicated by Capt.D at the time of booking.

Prices are quoted in South African Rand (ZAR) unless otherwise stated.

Capt.D reserves the right to update prices for future bookings and purchases.

Any promotional pricing is subject to the specific terms of the relevant promotion.


4. MEMBERSHIPS AND SESSION PACKAGES

Memberships and session packages are subject to the specific terms communicated at the time of purchase.

Unless otherwise stated:

  • sessions are personal to the member;
  • sessions may not be sold, transferred or exchanged for cash;
  • unused sessions do not automatically convert to cash refunds;
  • sessions must be used within the applicable validity period;
  • bookings remain subject to availability; and
  • membership or package expiry dates will apply as communicated at the time of purchase.

Capt.D may offer different package types with different numbers of sessions, validity periods and inclusions.

The terms applicable to the specific package purchased will take precedence where they differ from these general provisions.


5. CANCELLING A GROUP CLASS

Capt.D understands that plans can change.

Clients may cancel a group class booking without forfeiting the session provided that the cancellation is made at least:

12 HOURS BEFORE THE SCHEDULED CLASS START TIME.

Where a cancellation is made within the permitted cancellation period, the session may be returned to the client’s package or membership, subject to the applicable package terms and availability.

Where a booking is cancelled less than 12 hours before the scheduled start time, it will be treated as a Late Cancellation.


6. LATE CANCELLATIONS

A late cancellation prevents Capt.D from offering the space to another client and may result in the loss of the booked session.

Accordingly:

Late cancellation of a group class = session forfeited.

No replacement session, credit or refund will ordinarily be provided for a late cancellation.

Capt.D may, at its discretion, waive the late-cancellation rule in exceptional circumstances.

Any such waiver is discretionary and does not create an ongoing entitlement to exceptions.


7. NO-SHOWS

A “No-Show” occurs where a client fails to attend a booked session without cancelling the booking in advance.

A no-show will ordinarily result in:

  • forfeiture of the booked session; and
  • no refund or replacement session.

Repeated no-shows may result in Capt.D reviewing or restricting future booking privileges.


8. PRIVATE SESSIONS

Private sessions require a greater amount of scheduling and instructor allocation.

Private sessions may therefore be cancelled or rescheduled without penalty provided that at least:

24 HOURS’ NOTICE

is provided.

Where a private session is cancelled with less than 24 hours’ notice, or where the client does not attend, the session may be forfeited in full.

Capt.D may exercise discretion in genuine emergencies or exceptional circumstances.


9. ARRIVING LATE

Clients are encouraged to arrive a few minutes before their scheduled class or session.

Late arrival may reduce the amount of time available for participation.

For safety reasons, an instructor may determine that a client who arrives significantly late cannot safely participate in the full class.

Where a client is unable to participate because they arrived too late, the booking may be treated as a late cancellation or no-show.


10. WAITLISTS

Where a class is fully booked, Capt.D may operate a waiting list.

Joining a waiting list does not guarantee a place.

If a space becomes available, Capt.D may contact clients on the waiting list according to the applicable booking system or waiting-list process.

Once a place has been offered and accepted, the booking becomes subject to the normal cancellation policy.


11. CAPT.D CLASS CANCELLATIONS

Capt.D may occasionally need to cancel, reschedule or modify a class or session due to circumstances including:

  • instructor illness or unavailability;
  • operational requirements;
  • venue issues;
  • equipment problems;
  • insufficient bookings;
  • safety concerns;
  • unforeseen circumstances; or
  • events outside Capt.D’s reasonable control.

Where Capt.D cancels a class, affected clients will be notified using the contact details associated with their booking where reasonably possible.

Where appropriate, Capt.D may offer:

  • an alternative class;
  • a replacement session;
  • a booking credit; or
  • another reasonable remedy,

subject to the circumstances and applicable law.


12. INSTRUCTOR CHANGES

Capt.D may occasionally substitute an instructor where necessary.

An instructor change does not automatically entitle a client to a refund or replacement session where the class itself continues as scheduled.

Capt.D will endeavour to maintain the expected quality and character of the class notwithstanding reasonable instructor changes.


13. CLASS SCHEDULE CHANGES

Class times and schedules may change from time to time.

Capt.D will endeavour to communicate material schedule changes to affected clients where reasonably possible.

Clients should check the booking system and relevant Capt.D communications for current class times.


14. MEMBERSHIP EXPIRY

Memberships and session packages are valid for the period communicated at the time of purchase.

Clients are responsible for using their allocated sessions before the applicable expiry date.

Unless otherwise expressly agreed:

  • unused sessions expire at the end of the applicable validity period;
  • expired sessions are not refundable;
  • expired sessions are not automatically transferable; and
  • expired sessions cannot be exchanged for cash.

Capt.D may, at its discretion, extend an expiry date in exceptional circumstances.


15. REFUNDS

Refunds are subject to the specific terms applicable to the relevant purchase, as well as applicable South African consumer-protection legislation.

A refund will not ordinarily be provided solely because:

  • a client changes their mind after using a service;
  • a client fails to attend a booked class;
  • a client allows a package to expire; or
  • a client does not use all sessions purchased.

Nothing in this Policy is intended to exclude or limit any consumer right or remedy that cannot lawfully be excluded or limited.


16. PROMOTIONAL OFFERS

Promotional offers may have specific:

  • validity periods;
  • eligibility requirements;
  • booking conditions;
  • payment requirements;
  • usage restrictions; and
  • expiry dates.

Where specific promotional terms are provided, those terms will apply to the relevant promotion.

Promotional packages may not automatically be combined with other offers unless expressly stated.


17. TRANSFERS

Memberships, packages and booked sessions are generally personal to the purchaser.

A session or package may not be transferred to another person without Capt.D’s prior approval.

Where Capt.D approves a transfer, additional administrative conditions may apply.


18. GIFT VOUCHERS

Where Capt.D offers gift vouchers, the specific terms displayed at the time of purchase will apply.

Gift vouchers:

  • may be subject to an expiry date;
  • may not necessarily be redeemable for cash;
  • may be subject to availability; and
  • may be subject to additional terms communicated at the time of purchase.

19. HEALTH, INJURY AND SAFE PARTICIPATION

Clients are responsible for informing Capt.D of any relevant injury, medical condition, physical limitation or other circumstance that may affect their safe participation.

Clients should obtain appropriate medical advice before participating where there is any reasonable concern about whether exercise is appropriate.

Capt.D instructors are not medical practitioners and cannot diagnose or treat medical conditions.

An instructor may modify an exercise, recommend that a participant stop an activity, or recommend that a participant obtain medical clearance where reasonably necessary for safety.


20. LIABILITY WAIVER

Where required, clients must complete and accept Capt.D’s applicable Liability Waiver and Assumption of Risk before participating.

The waiver forms a separate part of the client registration and participation process.

Acceptance of this Booking & Cancellation Policy does not replace any separate waiver or health declaration required by Capt.D.


21. EMERGENCY CIRCUMSTANCES

Capt.D recognises that genuine emergencies may occur.

Where a client is unable to attend due to an unexpected emergency, they should contact Capt.D as soon as reasonably possible.

Capt.D may, at its discretion, waive the applicable cancellation penalty in exceptional circumstances.

Examples of circumstances that may be considered include serious illness, medical emergencies or other circumstances genuinely outside the client’s reasonable control.

Supporting information may be requested where reasonably necessary.


22. REPEATED LATE CANCELLATIONS AND NO-SHOWS

Capt.D reserves the right to address repeated late cancellations or no-shows.

Where a pattern of missed bookings occurs, Capt.D may:

  • contact the client;
  • recommend changes to their booking habits;
  • restrict advance bookings;
  • require payment before future bookings; or
  • take other reasonable administrative steps.

Any such action will be applied reasonably and subject to applicable law.


23. COMMUNICATION

Capt.D may use the contact details provided by clients to communicate information relating to:

  • bookings;
  • cancellations;
  • schedule changes;
  • membership administration;
  • payments;
  • class reminders;
  • operational notices; and
  • other information necessary to provide the requested service.

These administrative communications are separate from promotional marketing communications.

Marketing communications will be handled in accordance with Capt.D’s Privacy Policy and applicable POPIA requirements.


24. WEATHER, POWER OUTAGES AND OTHER EVENTS BEYOND OUR CONTROL

Capt.D may occasionally be affected by circumstances outside its reasonable control, including:

  • severe weather;
  • power interruptions;
  • infrastructure failures;
  • transport disruptions;
  • public emergencies;
  • safety incidents;
  • venue problems;
  • internet or technology failures;
  • government restrictions; or
  • other force majeure events.

Where such circumstances materially affect a scheduled class or service, Capt.D will take reasonable steps to notify affected clients and provide an appropriate alternative where reasonably possible.


25. POLICY CHANGES

Capt.D may update this Booking & Cancellation Policy from time to time.

The latest version will be published on the Website together with the applicable “Last Updated” date.

Changes will generally apply to bookings made after the updated policy takes effect, unless otherwise required by law or expressly communicated.


26. DISPUTES AND COMPLAINTS

If you have a concern regarding a booking, cancellation, membership, payment or application of this Policy, please contact Capt.D as soon as reasonably possible.

We will endeavour to resolve concerns fairly and in good faith.

Nothing in this Policy prevents a consumer from exercising any statutory right or remedy available under South African law.
